Position: W103 – Finance Assistant

Formation Architects, a London based architectural practice wish to appoint a full-time Finance Assistant. The role would require working closely with and reporting to the Finance Manager in their London office.

Formation Architects are looking for candidates who are either at the beginning of their finance career or looking for a career change.  We're looking for individuals with a strong willingness to learn and develop within this role. The ideal candidate will demonstrate relevant skills and attributes gained through previous employment that align with the requirements of this position.

 

Job Summary

As Finance Assistant, you will play a vital role in maintaining accurate financial records, supporting daily accounting operations, and assisting with financial reporting. You will be detail-oriented, numerically confident, able to prioritise effectively, and comfortable working within a creative environment.

 

Key Responsibilities

  • Process supplier invoices accurately and efficiently
  • Prepare and process weekly BACs AP run
  • Resolve supplier queries and reconcile statements
  • Review and process employee expenses for Finance Manager approval
  • Process payment of approved employee expenses
  • Prepare client invoices through the project management system
  • Maintain and update the project management system (Rapport3) in line with company protocol
  • Support Project Performance reporting
  • Monitor and assist with Credit Control activities.
  • Post daily bank transactions and perform regular bank reconciliations.
  • Support Month-End processes and reporting
  • Maintain accurate records and ensure ledgers remain current
  • Contribute to process improvement initiatives
  • Support ad-hoc financial analysis and administrative tasks as required.

 

Essential Skills & Experience

  • Strong numerical and organisational skills with excellent attention to detail.
  • Previous experience in a finance role
  • Proficiency with Microsoft Excel (including lookups, pivot tables, and data manipulation) and other MS Office applications.
  • Previous experience with Xero and Rapport 3 advantageous
  • Solid understanding of accounting principles and bookkeeping best practice
  • Ability to prioritise workload and meet deadlines within a busy studio environment
  • Proactive approach with strong problem-solving skills
  • Excellent time management capabilities
  • Ability to manage multiple priorities simultaneously
  • Candidates should be fluent in written and spoken English

Qualifications

AAT or ACA/ACCA/CIMA part qualification (or currently studying) is desirable but not essential.
